What zonask keeps about a person
People zonask has seen in your mail. Only names and domains are kept.
When an email arrives in a connected account, zonask adds its sender as a person, or updates the person it already knows: the name from the email's From line, the domain as the organisation and the time as the last contact.
A public mail domain such as gmail.com or bluewin.ch is never an organisation.
Newsletters, automatic mail and no-reply senders do not become people.
Mail you send moves the last contact of the people you write to, when zonask already knows them.
What zonask never keeps
zonask never keeps a person's email address: only a keyed fingerprint of it, which is different in every zonask account.
It never keeps a phone number, a postal address or the text of a message for a person.
The name is stored encrypted.
People and their pages
Under Roles, People lists them, the most recent contact first, with the organisation, the role or No role yet, and the last contact.
Search by name or organisation, or filter by role or organisation.
A person's page shows your open commitments with them and the next calendar event you share.
Next to it, Before this meeting repeats your last contact with this person and what you owe each other, computed on the spot and never stored.
After this meeting
Once an event you share with this person has started, and for seven days after, the page shows it as your last shared event with After this meeting.
Paste or speak your notes and press Find what was agreed: zonask reads them once and lists what it found, as tasks, what you promised, what you wait for and decisions, each with its person and date where your notes say one.
Every item starts ticked: untick the ones you do not want, change their kind, text, person or date, and press Create the ticked items; only the ticked ones are created, and zonask says what it created with a link to each.
A promise or something you wait for is linked to the person you chose, so it appears on their page; a decision is saved as a note in your second brain, and is offered only when one is connected.
zonask does not keep your notes: they are read once, with links, email addresses and phone numbers hidden first, and are stored nowhere.
zonask never joins, records or transcribes a meeting; speaking uses your browser's own speech recognition.
The recap is off until it is switched on for your zonask; until then the page does not show it.
Link to a role
Choose a role under Link to a role and press Save role: new emails from that person then go to that role before any routing rule.
A routing rule's preview names such an email with Routed by person.
Emails that arrived earlier keep their role.
Rename, Merge and Delete
Rename changes the name zonask shows; your mail and contacts stay as they are.
When zonask sees the same name at one organisation with two addresses, it asks on Approvals, for example "Anna Muster appears twice at acme.ch. Merge?", and merges them only when you approve.
Merge on a person's page joins another person into this one, after you confirm; it says Merged.
Delete makes zonask forget the person, after you confirm, and says This person is deleted.; a new email from them adds them again.
People you have had no contact with for 24 months are deleted on their own.
Delete all my data removes all your people.

Ask, for example, "Here are my notes from the 14:00, what did we agree?": recap_meeting answers with what it found and creates nothing; say which items you want, and each one is created after your yes.
